The art of productivity: 9 methods for achieving more in less time

We all strive to be productive, don’t we?

But sometimes it feels like no matter how hard we try, we just can’t seem to get everything done.

There’s always more work to do, more tasks to complete. And time? Well, that just seems to slip through our fingers like sand.

It can feel frustrating, overwhelming, even impossible. But guess what? You’re not alone in feeling this way.

Many of us struggle with productivity. But that doesn’t mean we can’t improve.

In fact, there are many strategies and techniques out there designed to help us get more done in less time.

Now, I’m not here to tell you it’s going to be easy or that there’s a one-size-fits-all solution. But I am here to share some tried and tested methods that could help you achieve more in less time.

1) Embrace the power of prioritization

First off, let’s talk about prioritization. Now, I don’t mean just writing a to-do list and checking off tasks as you complete them.

No, I’m talking about really understanding what’s important and focusing on that.

I remember when I used to have a long list of tasks and I’d try to tackle them all at once. Needless to say, it didn’t work out too well. I was overwhelmed, stressed, and hardly anything got done.

Then, I learned about the Eisenhower Matrix. This simple tool helps you prioritize your tasks based on their urgency and importance.

It was a game changer. Suddenly, I could see what really mattered and what could wait.

2) Take regular breaks

I know, it sounds counterintuitive, right? If you want to get more done, you should be working more, not less.

Well, let me share a little secret with you: that’s not necessarily true.

I used to be one of those people who’d work for hours on end without taking a break. But all it did was leave me feeling burned out and my productivity took a nosedive.

Then I discovered the Pomodoro Technique. This method involves working for 25 minutes, then taking a 5-minute break. Rinse and repeat.

At first, I was skeptical. But then I tried it and boy, did it make a difference! Those short breaks allowed my brain to rest and recharge, making me even more productive when I got back to work.

3) Limit distractions

Distractions are productivity killers. We live in a world where we’re constantly bombarded with notifications – emails, messages, social media updates, you name it.

According to a study by the University of California Irvine, it takes an average of 23 minutes and 15 seconds to get back to the task at hand after being interrupted. Just think about how much time you’re losing if you’re constantly being distracted.

So, if you’re serious about boosting your productivity, it’s time to start limiting these distractions. Turning off notifications, creating a dedicated workspace, or even investing in a pair of noise-cancelling headphones can go a long way in helping you stay focused and get more done.

4) Practice self-care

In the hustle and bustle of trying to get more done, we often forget to take care of ourselves. We push ourselves to the limit, skip meals, lose sleep, all in the name of productivity. But this is a dangerous path to tread.

Our bodies and minds are not machines. They need rest, nourishment, and care to function optimally. When we neglect our health, our productivity suffers. It’s like trying to run a car on an empty tank.

So, remember to take care of yourself. Eat a balanced diet, get enough sleep, exercise regularly, and take time to relax and do things you enjoy. 

Not only will it help you feel better physically and mentally, but it will also fuel your productivity in ways you never imagined.

5) Set realistic goals

This is something I’ve learned the hard way.

You see, I used to set these massive, ambitious goals for myself. While there’s nothing wrong with aiming high, the problem was I didn’t break them down into manageable chunks.

I’d look at that big, daunting goal and feel paralyzed. I didn’t know where to start, so I didn’t start at all. My productivity was at a standstill.

Then, I started breaking those big goals into smaller, achievable tasks. Instead of seeing one giant mountain to climb, I saw a series of steps. Each step I took brought me closer to my goal and gave me a sense of accomplishment.

So don’t be afraid to dream big, but remember to keep your goals realistic and manageable. It will not only boost your productivity but also your confidence as you see yourself making progress.

6) Embrace technology

Technology can be a double-edged sword when it comes to productivity. On one hand, it can be a major source of distraction, but on the other hand, it can be a powerful tool for boosting efficiency.

There are countless apps and software available that are designed to help you manage your time and tasks more effectively. From project management tools like Trello and Asana to note-taking apps like Evernote and Google Keep, there’s something out there to suit everyone’s needs.

I personally use Trello to keep track of my tasks and deadlines, and I swear by Google Calendar for managing my schedule. These tools have significantly improved my organization and productivity.

So don’t shy away from technology. Embrace it and use it to your advantage.

7) Learn to delegate

When I first started my career, I was the ‘do-it-all’ type of person. I took on every task myself, thinking this was the best way to ensure everything was done right. But all it did was leave me overworked and stressed out.

One day, a mentor of mine gave me a piece of advice that changed my perspective. He said, “You don’t have to do everything yourself. Learn to delegate.”

Delegating doesn’t mean you’re shirking your responsibilities. It means you’re making effective use of your team and focusing on the tasks that only you can do.

Establishing a consistent daily routine helped me structure my day better and reduced the amount of time I spent deciding what to do next. This left me with more time to focus on important tasks.

So whether it’s setting aside specific times for checking emails and meetings or planning your day the night before, establishing a routine can make a big difference in your productivity levels.

9) Stay positive

Lastly, but most importantly, stay positive. Productivity is not just about doing more in less time. It’s about maintaining a positive attitude even when things get tough.

There were times when I felt overwhelmed with work and doubted my ability to get everything done. But I found that maintaining a positive attitude helped me stay focused and motivated.

There will be ups and downs along the way, but with the right mindset and strategies, you can achieve more than you ever thought possible.
